We are currently seeking a talented and motivated Contract Event Manager to project manage the organization of the company’s annual User Conference. In this role, you will be responsible for every part of event preparation, such as choosing venues, approving menus, developing seating plans, arranging speakers, sponsors, promotions, and venue and supplier contracts and negotiations. In addition, you will be very well-organized and possess a sound knowledge of vendor management. Excellent communication and attention to detail skills are vital in this role, as our success depends on meeting our client’s tailored requirements.
Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
Manage all event set-up, tear down and follow-up processes.
Plan and manage excursions, related venues, and promotion of said excursions.
Identify and liaise with sponsors and setup and execute on sponsorship agreements
Maintain event budgets.
Book venues, entertainers, photographers, and schedule speakers.
Identify, schedule and manage AV suppliers
Any other responsibilities related to the event planning and execution process as requested.
Proven experience as an events planner or organizer (at least 3 years’ experience as an event manager)
Proven and demonstrable experience in managing conferences
Excellent time management, communication and interpersonal skills
Outstanding vendor management skills and negotiation skills
Ability to manage multiple projects independently
Bachelor’s degree in Hospitality Management or Public Relations is preferred.
