We are currently seeking to hire a Membership Projects Coordinator. Reporting to the Membership Manager, you will contribute to the department by shepherding projects from launch to completion to post-project analysis. In addition, you will be a liaison between the membership department and vendors. You will represent the Museum by maintaining high standards in printed and electronic materials, and adhere to data guidelines that add to a positive member experience. The selected candidate will also work collaboratively with Museum colleagues on various constituent lists and elements of direct response campaigns for renewing and attracting members. After completion of the probationary period, you will work a minimum of three days per week work in the membership offices of the Museum with the possibility of working two days remotely.

RESPONSIBILITIES:

Maintains and monitors project schedules to ensure that all stages of membership projects are timely and completed

Contributes to quality control of membership projects, including proofreading and data checks (de-duping and cleaning of campaign lists and spot-checking to ensure data integrity and quality)

Coordinates data request from outside organizations through the TRG Community Arts Database, and initiates list exchanges with other nonprofit organizations

Carries out essential details related to ongoing renewal efforts—by mail and email—including the coordination of data criteria, tracking codes, printing, and delivery

Maintains reporting, including but not limited to tracking Membership Households, Membership Revenue, Sales Channels, Renewal Rates, etc. Prepared post-campaign summaries to present and share with staff. Maintains organizing system of filing paper and electronic documents.

Manages custom mailings for gift memberships, Film Buff memberships, and Art Crowd memberships.

Assists Membership Manager with details related to welcome packets for members and membership card fulfillment by mail and on site

Assists Membership manager with direct response campaign by coordinating artwork, tracking codes, and data needs

Coordinates materials related to the reciprocal programs with partner museums

Develops and communicates internal and external policies and procedures related to the membership program with the Membership Manager

Orders and maintains stock of on-site member premiums at all admissions desks along with proper signage

Submits printing and postage requests for membership brochures and other materials

Works with the data entry team on account updates related to returned mail/address changes, requests for name changes, and other preferences

Manages workflow details related to the Museum’s membership sustainer program

Schedules and participates in vendor meetings

Supports special research projects, membership events and programs as needed

Assists with answering and troubleshooting requests from members

REQUIREMENTS:

Strong communication skills, both written and verbal; able to address project issues or delays with professionalism and tact

Highly curious, organized, and able to complete tasks in a timely manner

Proficiency with customer relationship management software; Tessitura experience a plus

Familiar with reporting tools

Proficient in Microsoft Office Suite

Print production experience is a plus

Experience with developing systems and processes (project management experience is preferred)

3-5 years of related work experience
