We are currently seeking to hire a Program Administrator in the Office of Graduate and Postdoctoral Studies (GPS). In this role, you will be responsible for the design and administration of a number of programs and projects within the office, related to recruitment, events, communication, outreach, diversity and inclusion, and student retention and student success. You will have the potential for a complementary Postdoctoral or Lecturer appointment in the candidate’s academic field of study. This is a term-limited role for one year with the possibility of extending for an additional year. The selected candidate will have experience at Rice University, other academic settings, or a start-up organization. The minimum salary for this role is $48K along with benefits.

RESPONSIBILITIES:

  • Administer the daily operations of assigned program(s) with the general guidance of a faculty member or a senior staff member
  • Conduct research, analyze data, identify trends and develop reports
  • Plan and monitor annual project budgets, assist in the development of longer terms budget plans
  • Recommend and implement outreach plans, including communications, events, marketing, conferences, etc.
  • Plan and coordinate logistical aspects of recruitment activities
  • Provide support to faculty, staff and students as related to the program
  • May assist with graduate student recruitment and admissions, student records, curriculum support, coordinating the accreditation process, managing scholarships and fellowships, and monitoring student progress
  • Perform all other duties as assigned

REQUIREMENTS:

  • Bachelor’s Degree
  • Doctoral degree or doctorate near completion is preferred
  • Leadership, mentoring or advising experience at Rice is preferred
  • Experience with writing fellowship applications is preferred
  • Operates well in a relationship-based environment, with the ability to adequately deal with challenging individuals and situations, demonstrating a high level of emotional intelligence is preferred
  • Self-starter who takes initiative, possesses a positive, “can do” attitude, and is resilient and adaptable to change is preferred
  • Ability to take direction and work to meet expected deadlines, while managing projects simultaneously
  • Good organizational and time-management skills
  • Ability to learn new strategies
  • Ability to draft and edit professional communications (web, email, brochures, social media, and reports)
  • Well-organized and detail-oriented
  • Data analysis skills
  • Advanced communication and customer service skills
  • Ability to take initiative and ownership of projects
  • Demonstrated high level of confidence in making decisions, good judgment, and innovative and creative problem-solving skills

  • Basic knowledge of managing budgets and developing financial plans
  • Ability to develop program partnerships and funding sources
  • Proficient computer skills; demonstrated ability with Microsoft Office and Google suite
